POSITION TITLE: Administrative Assistant
DEPARTMENT: Community Engagement
REPORTS TO: Director of Jewish Educational Initiatives
SUMMARY OF POSITION:
Perform administrative duties in conjunction with the Director of Jewish Educational Initiatives; Director of PJ Library & Special Projects; Director, Teen Initiatives; and Coordinator, Jewish Service Learning. With a broad range of skills, will interface with all departments, and levels of personnel in Jewish Federation of Greater MetroWest NJ, and key volunteer leadership. Must possess the ability to handle multiple assignments. Professional-pleasant demeanor, dependability, and flexibility are attributes in this position.
REQUIRED JOB SKILLS:
Excellent computer skills, including knowledge and understanding of Excel and Microsoft Outlook. Experience with database management a plus. Excellent telephone manner and good command of the English language. Attention to detail. Organized. Maintain a good and flexible attitude in a busy atmosphere. The ability to adapt to change of priorities during the business day and to apply learnings from one situation to the next. Capable of working independently with the ability to establish procedures to monitor own job activities and regulate tasks. Diligent in follow up.
PRIMARY DUTIES, including but not limited to:
EVENTS, PROGRAMS, AND MEETINGS MANAGEMENT
- Manage enrollment and registration, including entering data for meetings, programs, and events, both small and large scale.
- Maintain lists, create nametags and manage supporting materials.
- Maintain calendar of events, programs, and meetings.
- Coordinate refreshments, or meals, for events, programs and meetings.
- Set up meeting room as required by the nature of the meeting and clear the room when meeting is over.
- Follow up of all aspects of events, programs, and meetings, including invoicing, running report and correspondence with participants.
- Create reports and dashboards of pre-determined measures of success based upon data input.
- May require an early arrival or late departure in order to properly coordinate meetings, programs and events.
COMPOSE INTERNAL AND EXTERNAL COMMUNICATIONS
Compose letters and memos from verbal instructions, outline notes, as well as on own initiative from knowledge of circumstances.
TELEPHONE
- Responsible for answering incoming calls in a positive and polite manner.
- Ability to make calls on behalf of the Director and other Community Engagement professionals, as well as make follow-up calls pertaining to specific projects and/or meetings without being told.
- Capable of handling disgruntled callers with patience, helpfulness and a professional demeanor.

QUALIFICATIONS AND EXPERIENCE

- College degree with two plus years of prior administrative responsibilities
